Email Support Questions

I forgot my email password—how can I reset it?

As we manage your emails you can’t reset it yourself. For security reasons we don’t keep a copy of your password once it has been sent to you, we suggest storing your email passwords in a safe place once received. Of course if you can’t find it you can call our office and we will set a new password and send it to you.

How do I change my email password?

You can’t change your password as this is a managed service but of course you can call us and we will do this for you.

Why can't I send emails?

There a few reasons you might not be able to send emails. If after checking through this list you still have a problem please call us –

Full Mailbox or Quota Issues

  • If your mailbox is full or you’ve exceeded your storage quota, outgoing emails may be blocked until you free up space.

DNS (Domain Name Server) or Network Issues

  • If there’s a problem with your internet connection or the DNS server you’re using, outgoing emails may fail. Try restarting your router or contacting your ISP.

Incorrect Email Address

  • Double-check the recipient’s email address for typos or errors.

Incorrect Outgoing Server Settings

    • If you have reinstalled email software or have a new computer your settings may have changed , if so;
      1. Check that your email client (e.g., Outlook, Apple Mail) has the correct SMTP (outgoing mail server) settings. You can call us for this information.
        Ensure the server name, port number, and encryption method (SSL/TLS) match what your email provider requires.

How do I reduce the amount of email spam I receive?

Spam emails can be a nuisance, but there are effective ways to minimize them.

If you are receiving spam from your website forms please contact us. We will ensure that anti-spam features have been enabled on the form.

This is how to reduce general spam:

  1. Use a Spam Filter
    Most email providers have built-in spam filters. Ensure it’s turned on, and regularly mark unwanted emails as spam to train the filter.
  2. Don’t Share Your Email Publicly
    Avoid posting your email address on websites, forums, or social media. If necessary, use a disposable or secondary email address for public use.
  3. Unsubscribe from Mailing Lists
    Legitimate marketing emails should have an “unsubscribe” link at the bottom. Use it to opt out of emails you no longer want.
    Note: Only unsubscribe from trusted sources. Unsubscribing from suspicious emails may confirm your email address to spammers.
  4. Use a Different Email for Sign-Ups
    Create a separate email address for signing up for services or promotions to keep your primary inbox clean.
  5. Block Specific Senders
    Most email clients allow you to block specific email addresses or domains. Use this feature to stop repeat offenders.
  6. Avoid Clicking on Suspicious Links
    Clicking links in spam emails can confirm your email address is active, leading to more spam. Delete these emails instead.
  7. Don’t Respond to Spam
    Replying to spam, even to “unsubscribe,” can alert spammers that your email address is active.
  8. Enable Two-Factor Authentication (2FA)
    Secure your account with 2FA to prevent hackers from accessing your email and spreading spam from your address.
  9. Contact Your Email Provider
    If you’re overwhelmed with spam, your email provider may be able to enhance your spam filter or offer other solutions.

What’s the difference between IMAP and POP3, and which should I use?

IMAP (Internet Message Access Protocol) and POP3 (Post Office Protocol version 3) are two different methods for retrieving emails from a server:

IMAP How it works:

  • Emails are stored on the server and synchronized with your devices. Any changes (reading, deleting, organizing) you make on one device are reflected across all devices.
  • Best for: Users who access their email on multiple devices (e.g., phone, tablet, computer).
  • Advantages:
    • Emails are always available on the server, even if your device is lost.
    • Sent and draft emails are accessible on all devices.
    • Easier to manage large email accounts without downloading everything.

POP3 How it works:

  • Emails are downloaded from the server to your device and typically removed from the server. Once downloaded, they are stored locally and can only be accessed on the device that downloaded them.
  • Best for: Users who access email on a single device or want to save storage on their server.
  • Advantages:
    • Emails are stored locally, which can be useful for offline access.
    • Frees up server space after emails are downloaded.

Which Should You Use?

Use IMAP if you check your email on multiple devices or need real-time synchronization across devices.

Use POP3 if you prefer to store emails locally on one device or have limited server storage and don’t need access to your email from multiple devices. For most people and modern setups, IMAP is the preferred choice because of its flexibility and ability to sync emails seamlessly across devices.
